Prepare the information a rental specialist needs
An initial request may include the hire dates, activity, height, weight, shoe size and experience of each person. For children, include age as well as measurements. These details help begin the selection but do not replace fitting and the specialist’s assessment.
For an organised mountain programme, first obtain the organiser’s current list. A general description such as “climbing equipment” does not establish the type or compatibility required by a particular programme.
Send one accurate participant list rather than several messages with changing measurements. Mark anything that still needs to be checked in person.

Confirm what the ski or snowboard set contains
“Skis” may describe different combinations. Ask whether boots and poles are included, whether a helmet or other protection is available and how a replacement is handled. For a snowboard set, check the board, boots and bindings separately.
Do not use a promotional photograph as the final equipment list. The provider’s confirmation or agreement should identify the actual set and applicable conditions.
Clothing, goggles, gloves and smaller accessories may or may not be offered. Keep one list of what you will bring and another of what the provider must confirm.
Allow unhurried time for boot fitting
The same stated size can fit differently between models. Try boots with the socks you intend to use and report obvious pressure, movement or numbness. Do not assume severe discomfort will disappear during the first day.
A rushed group is more likely to accept the first available option. Arrange a fitting time, check fastenings and ask how and when a replacement can be requested. A child’s equipment requires the same care; do not select an oversized boot without specialist advice.

Confirm the identifying marks for each participant’s set. Similar boots, skis or boards can be mixed up in a group. A photograph may help identify the set but does not replace the provider’s agreement or collection record.
Do not use an item that appears damaged or unsuitable simply because the group is in a hurry. Raise the issue immediately with the rental specialist.
Read the price, deposit and return conditions
The total can depend on the set, equipment category, number of days and provider’s rules. Ask what is included, how the first and final day are counted, whether a deposit or documents are required and what happens after damage or a late return.
If additional protection or insurance is offered, read its limits and exclusions before paying. Save the receipt, agreement and official contact. When returning the equipment, obtain confirmation that it has been accepted.

Build a mountain set from the programme requirements
Equipment for an ascent or another higher-risk mountain programme must follow the organiser’s current requirements, not a generic search result. Identify what is included by the organiser, what must be brought and what may be hired.
Compatibility between boots and technical components should be confirmed by a specialist. Leave time for fitting and any organiser inspection before the group meets.

Confirm storage and drying arrangements
Tell the hotel if you will arrive with skis, a snowboard or substantial mountain equipment. Ask what storage and drying arrangements apply to the selected dates. Do not rely on an old directory description or photograph.
Follow the rental provider’s care instructions and the hotel’s rules. Do not place equipment where it blocks a passage or use an unapproved heating method.
For a group, label smaller items and assign a final equipment check before leaving each day. A mixed-up boot can delay the whole party.
Plan the return before the first hire day
Confirm the return location and deadline. If hotel checkout, equipment return and onward transport fall on the same day, allow time for packing, travel and possible queues.
Check the set against the provider’s list before leaving the hotel or storage area. Return it to the provider and address stated in the agreement unless another handover has been explicitly accepted.
Resolve any deposit or missing-item question through the provider’s official contact and retain the return confirmation.

First confirm the hotel stay, then align the hire dates. Give the hotel accurate guest details and any accommodation question connected with bulky luggage. Do not add the rental price to the room total yourself.
